We believe privacy is part of presence. This page explains what data is collected on Soulmates – Daily Whiteboard Thoughts, why it’s collected, and how it’s handled—with clarity and restraint.

This site is a personal, creative project shared by Rebecca and Matthew. It exists to document moments, not to mine data.
Comments
When visitors leave comments on the site, we collect the information shown in the comments form, along with the visitor’s IP address and browser user agent string. This helps us with spam detection and site security.
If you use Gravatar, an anonymized string (a hash) created from your email address may be sent to the Gravatar service to see if you have a profile image associated with it.

Once your comment is approved, your profile picture (if applicable) becomes visible to the public in the context of your comment.
Media
If you upload images to the website, please avoid uploading images with embedded location data (EXIF GPS). Visitors to the site can download and extract location data from images posted publicly.
Cookies
We use cookies sparingly and primarily for convenience and functionality.
- If you edit or publish content, a cookie may be saved indicating the post ID. It contains no personal data and expires after one day.
- If you leave a comment, you may opt in to saving your name, email address, and website in cookies so you don’t have to re-enter them later. These cookies last for one year.
- Visiting the login page sets a temporary cookie to check whether your browser accepts cookies. It contains no personal data and disappears when you close your browser.
- When you log in, cookies are set to save login details and screen display preferences.
- Login cookies last two days
- Screen preference cookies last one year
- “Remember Me” keeps you logged in for two weeks
- Logging out removes login cookies.
- If you edit or publish content, a cookie may be saved indicating the post ID. It contains no personal data and expires after one day.
Embedded content from other websites
Some posts may include embedded content (videos, images, articles, etc.).
Embedded content behaves exactly as if you visited the other website directly. These external sites may collect data, use cookies, embed tracking, or monitor your interaction—especially if you’re logged into their platform.
We don’t control those systems, but we believe in transparency when they’re present.
Who we share your data with
If you request a password reset, your IP address will be included in the reset email for security purposes.
Other than required technical services (such as spam detection), we don’t sell, trade, or misuse your data.
How long we retain your data
- Comments and their metadata are retained indefinitely so we can recognize and approve follow-up comments automatically.
- If users register on the site (if applicable), we store the personal information provided in their profile.
Users can view, edit, or delete their personal information at any time (except for usernames). Site administrators can also access and edit that information as needed.
What rights you have over your data
If you have an account on this site or have left comments, you may request:
- Deletion of your personal data
- An exported file of the personal data we hold about you
This does not include data we are required to keep for administrative, legal, or security reasons.
Where your data is sent
Visitor comments may be checked through an automated spam detection service.
